The rest of the toolbox followed: a five-question aging-in-place readiness assessment aligned with his CAP certification, renovation cost estimators, ROI guides, and personality quizzes. Nine tools total, all built using Claude to write the HTML, all live within 15 to 20 minutes of the idea.

Crabtree has no formal coding background. He uses Claude to generate the HTML, drops it into his website, and connects it to GA4 for tracking. The whole process takes 15 to 20 minutes from idea to live page.

The Client Silence Detector
Every morning an AI agent scans all active jobs in Job Tread for recent client touchpoints: comments, daily logs, sent documents. If three business days pass without any interaction, the job gets flagged internally so someone can reach out.
The snooze feature is what makes it practical. When a project is in a known waiting period, staff enter a snooze command with a specific date. The system pauses the flags and automatically creates a follow-up task assigned to the office assistant due on that date. Nothing falls through the cracks because the system tracks the gap rather than relying on someone to remember.
The Site Visit Survey
Marking an initial site visit complete in Job Tread automatically triggers a survey to the client after a one-hour delay, with an explanatory message included. When responses come in, the internal team gets an immediate alert with next steps. The feedback loop runs automatically without anyone having to remember to send it.
The Marketing Workflow
Crabtree uses Claude for HTML coding, complex prompts, and custom email newsletter layouts. He uses ChatGPT for social graphics and ad visuals. For newsletters, he has Claude write custom HTML, screenshots the layout, embeds it into Flowdesk, and places interactive buttons over the image. It bypasses the design limitations of standard email builders and produces a branded result that looks like it came from an agency.
